Guest Issue & Compensation Log is an Excel and Google Sheets workbook that turns every guest complaint into a clear record of what went wrong, how you fixed it and what it cost you. Log each issue once, with its category, severity and root cause, and the workbook shows which problems keep coming back, what you spend on refunds, credits and gifts, and how fast you resolve them.

Why it is different: most hosts fix a problem and move on. This log is a ledger of the whole picture: a built-in compensation matrix keeps your goodwill gestures fair and consistent, a cap check flags anything above your own limit, and the recurring-issue chart tells you which fix to make first.

No Canva needed. This is a plain spreadsheet with no macros and no add-ons. Yellow cells are for typing and gray cells hold the formulas. It works in Excel, Google Sheets and Numbers.

What is inside (6 sheets)

• Issue Log - 40 rows (24 filled with sample issues): stay and guest initials, check-in date, category dropdown, severity 1 to 5 dropdown, what happened, root cause, resolution, cost, refund or credit type, a resolved check box, the resolved date, days to resolve and a cap check. Five KPI tiles show issues logged, total cost, cost per issue, open issues and average days to resolve.
• Compensation Matrix - an editable severity ladder with a cap on cost for each level, plus a suggested gesture for every category and severity (10 categories by 5 levels).
• Root-Cause Tally - COUNTIFS by category and by root cause: issues, share, total cost, cost per issue, average severity, open issues and average days to resolve, with a cost chart.
• Recurring Issues - a bar chart of issues by category and a top 5 table that ranks itself, with a fix to try beside each category.
• Monthly Totals - refund, credit and gift totals for each of the 12 months with a stacked chart and the costliest month.
• Read Me - how to use the workbook, what the colors mean and tips for Google Sheets.

Sample data is included (24 made-up issues for two homes), so every number, flag and chart shows a real result from the first click. Replace it with your own in about 15 minutes.

How it works

3. Type your next guest issue in the first empty yellow row of the Issue Log.

Do I need Canva? No, this is an Excel file.

Does it connect to my booking platform? No. You type each issue yourself, so it works with any booking site and nothing is scraped or uploaded.

Can I change the categories? Yes. Rename them on the Root-Cause Tally sheet and the dropdowns on the Issue Log follow.

Does it work in Google Sheets? Yes. Upload the file and open it with Google Sheets. The formulas avoid add-in functions.
