Airbnb Mileage Log Spreadsheet + Receipt Log – Trips, Purpose, Rate, Receipts by Category, Monthly Totals, Per-Property Split, No Canva
Mileage & Receipt Log is an Excel and Google Sheets workbook for hosts who drive to their rentals and buy supplies all year. Log each trip with its purpose and distance, log each receipt by category and property, and the workbook turns them into a mileage deduction, monthly totals, a per-property split and a dashboard. Nothing to rebuild at tax time: the numbers are already added up.
No Canva needed. This is a plain spreadsheet with no macros and no add-ons. Yellow cells are for typing and gray cells hold the formulas. It works in Excel, Google Sheets and Numbers.
This is a template only, not legal, tax or financial advice. Have a local professional review it before use. Mileage rates and deduction rules differ by country and change often, so check the current rules with your tax agency or an accountant.
What is inside (8 sheets)
- Settings - your mileage rate per mile or km (a yellow cell with a prompt to enter your agency's current rate), a miles or km dropdown, up to six property names, twelve receipt categories and the reporting year. Every dropdown and summary follows these lists.
- Mileage Log - 80 rows (45 filled with sample trips): date, property, from, to, purpose (Turnover, Supply run, Guest meeting, Inspection, Repair visit, Other), odometer start and end, round trip dropdown, and calculated one-way distance, total distance, deduction and month. A totals row stays above the header and AutoFilter is on.
- Receipt Log - 100 rows (50 filled): date, vendor, category dropdown, property dropdown, amount, payment method, receipt number or file name, a deductible Yes or No and notes, with totals above the header.
- Monthly Totals - 12 months of trips, distance, mileage deduction, receipts, deductible receipts and the combined deductible amount, with a column chart.
- By Property - trips, distance, mileage, receipts and each property's share of the total, with a row for items that have no property chosen and a chart.
- By Category - receipts, count, share, deductible amount and average per category, with a bar chart.
- Dashboard - total distance, mileage deduction, trips, receipts, deductible receipts, combined deductible, top category and its amount, a by-property table and two charts.
- Read Me - how to use the workbook, what the colors mean and what to keep as proof.
Sample data is included (a year of made-up trips and receipts for four example properties), so every total and chart shows real numbers from the first click. Replace it with your own.

FAQ
Do I need Canva? No, this is an Excel file.
Does it tell me which mileage rate to use? No. You type the rate your tax agency publishes. The sample rate is only an example.
Can I use kilometers? Yes. Pick km on Settings and the labels follow. Type the rate per km.
How does the round trip option work? Enter the odometer at the start and end of one leg. Choose Yes and the total distance is doubled for the way back.
Does it work in Google Sheets? Yes. Upload the file and open it with Google Sheets. The formulas avoid add-in functions.
