Restock & Supply Inventory Tracker is an Excel and Google Sheets workbook that tells you exactly what to buy before your next guests arrive. Set a par level for every consumable, update what is on hand after each turnover and the workbook flags what needs reordering, builds your shopping list by itself and shows what supplies cost you per stay.

No Canva needed. This is a plain spreadsheet with no macros and no add-ons. Yellow cells are for typing and grey cells hold the formulas. It works in Excel, Google Sheets and Numbers.

What is inside (5 sheets)

• Inventory - 48 pre-filled consumables in six categories (bathroom, kitchen, cleaning, laundry, guest amenities, paper goods) plus room for 12 more. Columns: par level, on hand, status flag (REORDER or OK with colour), quantity to buy, unit cost, units used per stay, cost per stay, reorder cost, stays of stock left and supplier.
• Shopping List - fills automatically with only the items below par: category, item, quantity to buy, line cost, supplier and a Bought column. It is formula-based, so there is no filter to apply or refresh.
• Stays Log - log each stay with nights and guests, add extra items used and see total supplies cost and cost per guest-night.
• Dashboard - items below par, cost to restock now, supplies cost per stay, cost per guest-night, value of stock on hand, restock cost by category and two charts.

Sample data is included, so every flag, total and chart shows real numbers from the first click. Replace the sample items with your own, or edit the quantities and prices.

How it works

1. Download the ZIP after checkout.
2. Open the .xlsx in Excel, or upload it to Google Drive and open with Google Sheets.
3. Edit the item list, par levels and prices.
4. After each turnover update On hand, then print or open the Shopping List before you shop.

FAQ

Do I need Canva? No, this is an Excel file.

How does the shopping list work without filters? A helper column numbers the items below par and the Shopping List looks them up with INDEX and MATCH, so it updates instantly in any spreadsheet app.

Can I track more than one property? Yes. Use one copy of the file per property, or add a property name to the item notes.

Does it work in Google Sheets? Yes. Upload the file and open it with Google Sheets. The formulas avoid add-in functions.
